Planning your event can be overwhelming. Choosing the right venue, caterer, photographer, DJ, and other vendors will help create an unforgettable experience for you and your guests. If you don't know where to begin, it could become difficult trying to find resources in order to accomplish your vision. An event planner can alleviate that hassle because they are able to create a memorable experience with your event.

As you begin to consider selecting an event planner, two questions must be answered early in the process, since the answers will have a large impact on decisions down the road.

When is the Event?

You need to establish this first. The answer may be affected by certain guests’ availability and by the availability of venues and vendors that might be servicing your event. Your planner should be able to answer all these concerns.

How many people are coming?

Once the date is settled, you will need to consider how many people to invite. It's important to remember that not everyone you invite will be able to make it. Generally, you can count on 70-80% of the people you invite to show up.

How Long Will this Take?

This depends on a few things. Often, you are given a hard date, because your event planner needs time to coordinate so your event is successful. If you want to have an event at the last minute keep in mind that even though your planner can satisfy your request it will be more costly and may not give you the overall turn out you were expecting.

Where Will You Have It?

Once you’ve decided how many people there will be at your party, where you will have it is the most important consideration. Price will be the driving factor for this decision but do not let this discourage you. Your event planner will recommend the best options for you.

How Much Will You Spend?

The two things that will cost you the most is the venue and the food. Event planners are the connection because they will have contracts with vendors, so they will get you a much better price then you doing it on your own. Trimming down the number of people that are coming is the #1 thing you can do to save money. Other services, such as a DJ or Photographer, do not have rates that depend on how many people are coming to your party. Your event planner will go over different options.
